Edviro Academy Safeguarding Policy 2024/2025
Effective date: 1st September 2024
Last updated: 1st September 2024
Purpose and Scope
This policy outlines the measures taken by Edviro Academy to safeguard children (ages 10–18) who participate in our live online group lessons, recorded lesson access, homework support, and community interactions (“Students”). For the purposes of this safeguarding policy and in line with UK safeguarding law, “children” refers to anyone under 18.
Edviro Academy is committed to the safeguarding and wellbeing of all children using our services. All children, regardless of age, disability, gender reassignment, race, religion or belief, sex, or sexual orientation, have an equal right to protection from all forms of harm or abuse.
We recognise that abuse and neglect can take many forms and ask all staff to maintain an attitude of “it could happen here.” Abuse may be physical, emotional, sexual, or result from neglect, and can be inflicted directly or through failure to act. Harm can also include witnessing abuse.
Further definitions of abuse and neglect can be found in Working Together to Safeguard Children 2023, Appendix A.
Legal Framework
This policy is aligned with current UK Government guidance and statutory requirements on safeguarding children, including:
Keeping Children Safe in Education 2024
Working Together to Safeguard Children 2023
Information Sharing Guidance 2024
Government Guidance on Remote Education
Our Commitments
Edviro Academy is committed to:
Having a named Designated Safeguarding Lead (DSL) available to answer queries, advise on referrals, and oversee safeguarding matters. The DSL will have up-to-date training renewed every two years, with annual knowledge refreshers.
Providing a confidential reporting system via email for safeguarding concerns, monitored regularly.
Making children and families aware of the NSPCC helpline and other support services.
Valuing, respecting, and listening to children at all times.
Maintaining and enforcing clear safeguarding and child protection policies, procedures, and staff codes of conduct.
Implementing an online safety policy specific to our Zoom-based teaching environment.
Recruiting safely through enhanced DBS checks, reference checks, and identity verification.
Recording, storing, and using safeguarding information securely in line with data protection laws.
Involving parents and carers where necessary to safeguard children’s welfare.
Handling allegations against staff or volunteers promptly and according to established procedures.
Ensuring zero tolerance for bullying and harassment.
Having an effective complaints and whistleblowing process.
Steps We Take to Ensure Students’ Safety
1. Online Safety
All Edviro lessons are delivered via Zoom, where student chat messages are private and only visible to the teacher, reducing peer-to-peer risks in the chat function.
Teachers monitor lesson interactions closely, and any inappropriate behaviour is addressed immediately.
Students are encouraged to report anything that makes them feel unsafe or uncomfortable.
Any disclosure of online abuse is referred to the DSL, who will act in line with safeguarding procedures.
2. Student Code of Conduct
All students must adhere to Edviro’s Student Code of Conduct, which prohibits harassment, bullying, discrimination, or any behaviour that could cause harm.
Breaches may result in disciplinary action, suspension, or permanent removal from Edviro services.
However chances of the above are fully eliminated as live lesson interaction is only with the teacher.
3. Communication Guidelines
All communication between teachers and students occurs only via official Edviro channels (Zoom, official Edviro email).
Teachers do not exchange personal contact details with students.
Private messaging between students and teachers is limited to the Zoom chat function during lessons, which is used solely for academic purposes and visible only to the teacher.
No communication occurs outside of educational purposes. Any attempt to bypass these rules is treated as a safeguarding concern.
4. Reporting Procedure for Staff
If staff become aware of a safeguarding concern, they must immediately report it to the DSL by emailing safeguarding@edviro.com and include:
Names of all people involved
Which platform or medium the incident occurred on
Factual summary of the concern and any actions taken
Staff must reassure students who disclose concerns and refer them to sources of support.
5. Safer Recruitment
All staff undergo enhanced DBS checks before starting.
Identity is verified through two forms of photographic ID.
References are checked, including at least one verified via a publicly listed company number, not from candidate-provided details.
6. Allegations Against Staff or Volunteers
Any allegation is immediately referred to the DSL, who will determine if it is low-level or meets the harm threshold as per KCSIE 2024.
High-level concerns are reported to the Local Authority Designated Officer (LADO).
Staff are encouraged to self-report if they believe their behaviour could be misinterpreted.
Allegations are treated with strict confidentiality.
7. Parental Consent
Students under 18 must have parental or guardian consent to enrol in Edviro Academy courses.
Parents/guardians confirm they have read and agreed to Edviro’s Terms & Conditions, Privacy Policy, and Student Code of Conduct.
8. Data Protection
Edviro complies with all relevant data protection laws.
Personal data is stored securely and accessed only by authorised staff for safeguarding or operational purposes.
Review and Update
This policy will be reviewed annually or sooner if legislation, guidance, or operational changes require it.
